1. About these terms
These terms are an agreement between you, the business using Bookopio ("you"), and [Company Name Ltd], company number [Company number], registered office [Registered address] ("we", "us"). By creating an account and ticking the box at sign-up, you accept these terms and our Privacy Policy.
Bookopio is a business-to-business service. You must be at least 18 and using Bookopio for your trade, business or profession — not as a consumer.
2. The service
Bookopio provides an online booking page, travel-aware scheduling, quotes, email notifications, calendar invites and a website embed so your customers can request appointments. Drive times and estimates are calculated automatically from third-party map data and are guidance only — you're responsible for checking and confirming each booking.
3. Your account
- Give accurate details and keep them up to date.
- Keep your password secure and don't share your login. You're responsible for activity under your account.
- Tell us straight away at support@bookopio.com if you think your account has been compromised.
- Team members. On plans with more than one user you can invite people to their own login. They can see and manage only their own diary (hours, start point, blocks and which services they do). You're responsible for the people you invite and for their use of Bookopio. Removing someone, or closing your account, ends their access.
4. Free trial, subscription and billing
- Price. Bookopio is sold on the following plans, billed in advance in pounds sterling, monthly or yearly as you choose at checkout: Solo (1 user) £19 a month or £190 a year; Team (up to 3 users) £39 a month or £390 a year; Business (6 users) £69 a month or £690 a year. Extra Business users cost £9 a month or £90 a year each, up to 25 users in total; larger teams are priced individually. The exact amount and payment schedule are shown before you enter your card. We are not VAT registered, so no VAT is charged. [Update this if you register for VAT.]
- Discount codes. A discount code applies only on the terms shown at checkout (amount, number of payments and eligible plans). Codes can only be used once per account, can't be exchanged for cash and may be withdrawn before they are redeemed. After the discounted payments your plan's full price applies.
- Changing plan. You can change plan, billing frequency or number of users from the Billing page. During the trial the change applies straight away; afterwards it applies from your next billing date. We don't refund or charge part periods. You can't go below the number of users on your team.
- Free trial. New accounts get a 7-day free trial. A valid payment card is required to start it. Your first payment is taken automatically when the trial ends unless you cancel before then. One free trial per business.
- Auto-renewal. Your subscription renews every month (or every year on annual billing) on the same date and your saved card is charged until you cancel. Payments are processed by Square; invoices are available on your Billing page.
- Failed payments. If a payment fails we'll email you and Square will retry. While a payment is outstanding your booking page stops taking new online bookings. Update your card on the Billing page to fix it.
- Price changes. We'll give you at least 30 days' notice by email of any price change. You can cancel before it takes effect.
5. Pausing
- Once your trial has ended you can pause billing for 1 to 3 months from the Billing page (on annual billing too).
- A pause starts at the end of your current paid period. You keep full access until then.
- While paused you aren't charged and your booking page shows that you're not currently taking online bookings, with your phone number and email. You can still sign in, see and manage existing bookings.
- You can resume early at any time; billing restarts from the day you resume.
6. Cancellation and refunds
- You can cancel at any time from the Billing page. Cancelling during the free trial means you're never charged.
- After the trial, cancellation takes effect at the end of your current paid period. You keep access until then and can undo the cancellation before that date.
- We don't give refunds for partial months or unused time, except where required by law. Nothing in these terms affects your statutory rights.
- After cancellation your data is kept so you can reactivate (no new trial). You can delete your account at any time.
7. Your customers and their data
You are the data controller for the personal data of your customers that you collect through Bookopio. You're responsible for having a lawful basis to use it, for telling your customers how you use it (for example in your own privacy notice), for the prices, quotes and services you offer, and for honouring the bookings you confirm. We process that data on your behalf under the Data Processing Addendum below.
8. Acceptable use
You must not use Bookopio to:
- break any law, or collect data you're not entitled to;
- send spam or misleading communications;
- upload malicious code, probe, scan or attack the service, or try to access other users' data;
- resell or white-label the service without our written permission.
9. Availability and changes
We aim to keep Bookopio available at all times but don't guarantee uninterrupted service. We may carry out maintenance and improve or change features. If we make a change that materially reduces the service, we'll tell you in advance and you may cancel.
10. Intellectual property
We own Bookopio and its software, design and content. You own your business content and data, and you give us a licence to host and process it only to provide the service. You can export or delete your data at any time.
11. Liability
- Nothing limits liability for death or personal injury caused by negligence, fraud, or anything that can't be limited by law.
- We're not liable for loss of profit, revenue, business, goodwill or data, or for indirect or consequential loss.
- Our total liability in any 12-month period is limited to the fees you paid us in that period, or £100, whichever is greater.
- We're not responsible for third-party services (such as Square, map or email providers) outside our reasonable control.
12. Suspension and termination
We may suspend or close your account if you seriously or repeatedly breach these terms, fail to pay, or use the service unlawfully. Where reasonable we'll warn you first and give you time to fix the problem. You can close your account at any time by deleting it from the Billing page.
13. Data Processing Addendum (summary)
